Need Tools and Resources for Supervisors?
While dedicated software is a fantastic investment, you don't need a complex system to start streamlining your practice. My Supervision Trackers are a perfect first step to digitize your record-keeping. For those who love versatile and visual tools, I also recommend exploring platforms I'm affiliated with:
-
Trello: A great project management tool for tracking supervisee progress and tasks.
-
Canva: Perfect for creating professional-looking resources and templates for your supervisees.
Practical Tips From This Episode:
-
Assess Your Needs First: Before you start shopping for software, make a list of your must-have features. Do you need video conferencing, document signing, or just a better way to track hours?
-
Take Advantage of Free Trials: Most software companies offer a free trial period. Use this time to test the platform with a supervisee to see if it fits your workflow.
-
Prioritize HIPAA Compliance: Ensure any software you choose is HIPAA-compliant to protect sensitive information and maintain ethical standards.
-
Consider User-Friendliness: The best software is the one you and your supervisees will actually use. Look for an intuitive interface that doesn't require extensive training.
-
Don't Be Afraid to Combine Tools: You may not find one single platform that does everything you want. It's perfectly fine to use a combination of tools to create your ideal digital workflow.

Welcome to Supervising with Purpose: Mental Health Leadership Unlocked. I'm Amy, your guide to navigating the world of clinical supervision and mental health leadership. Whether you're a seasoned supervisor or just stepping into the role, this podcast is here to equip you with insights, tools, and strategies to lead with confidence, clarity, and purpose.
Let's dive into today's episode. We're living in a digital world, and our supervision practices are no exception. Today, we're talking all about supervision software. I know, I know, the word 'software' can sometimes feel a little intimidating, but I promise you, the right tools can make your life as a supervisor so much easier.
When I first started, everything was on paper. I had stacks of files for each supervisee, and keeping track of everything was a nightmare. I was constantly worried about losing important documents, and I spent way too much time on administrative tasks. But as technology has evolved, so have the tools available to us. And let me tell you, they are a game-changer.
So, what are the benefits of using supervision software? First and foremost, it helps you to be more organized. With a good software platform, you can keep all of your supervisees' information in one place. Their contract, their supervision notes, their hours, their evaluations – everything is right there at your fingertips. This not only saves you time, but it also helps you to be more prepared and present in your supervision sessions.
Another huge benefit is security. As supervisors, we have an ethical and legal responsibility to protect our supervisees' and their clients' confidential information. Using a HIPAA-compliant software platform is one of the best ways to do that. It's so much more secure than keeping paper files in a locked cabinet, and it gives you peace of mind knowing that you're doing everything you can to protect that sensitive information.
Now, there are a lot of different types of supervision software out there, and it can be overwhelming to try to figure out which one is right for you. Some Electronic Health Record systems, or EHRs, have supervision modules built right in. This can be a great option if you're already using an EHR in your practice, as it keeps everything in one system. There are also dedicated supervision platforms that are designed specifically for supervisors. These platforms often have a lot of great features, like video conferencing, document signing, and customizable forms.
But you don't necessarily need a fancy, expensive software platform to reap the benefits of technology. There are a lot of other tools that you can use to create your own digital workflow. For example, I'm a huge fan of Trello, which is a project management tool. You can create a board for each supervisee and use it to track their progress, assign tasks, and share resources. I'm also a big fan of Canva for creating professional-looking resources and templates. I also enjoy using my HIPAA compliant google workspace for forms, resource sharing, intranet (internal website) setup, folder sharing, and more.
And of course, I have to mention my own Supervision Trackers. They're a simple, easy-to-use way to digitize your record-keeping and make sure you're staying on top of all your documentation.
So, how do you choose the right tools for your practice? Here are a few tips:
-
Assess your needs first. Before you start looking at software, take some time to think about what you really need. Make a list of your must-have features. Do you need video conferencing? Document signing? Or are you just looking for a better way to track hours?
-
Take advantage of free trials. Most software companies will let you try before you buy. Use that time to really test out the platform. See if it's a good fit for your workflow and if it's something that you and your supervisees will actually use.
-
Prioritize HIPAA compliance. I can't stress this enough. Make sure that any software you choose is HIPAA-compliant. It's not worth the risk to use a platform that isn't.
-
Consider user-friendliness. The best software in the world is useless if it's too complicated to use. Look for a platform with an intuitive interface that doesn't require a lot of training.
-
Don't be afraid to combine tools. You may not find one single platform that does everything you want it to do. And that's okay. It's perfectly fine to use a combination of tools to create your ideal digital workflow.
I encourage you to start exploring the world of supervision software. It may take a little bit of time and effort to find the right tools for you, but I promise you, it will be worth it in the long run. It will free you up to focus on what you do best: providing high-quality supervision and helping your supervisees to grow and thrive.
